CRM + SharePoint Integration: Question regarding SharePoint List view threshold

Hi everyone,

we have integrated SharePoint with Dynamics CRM. No we heard about the “List view threshold” @ 5000 records. I have read some information on MSDN and possible Solution to overcome this issue.

List view threshold:

“Specifies the maximum number of list or library items that a database operation, such as a query, can process at the same time outside the daily time window set by the administrator during which queries are unrestricted.”

In our initial setup we will definitely create more than 5K Folder + Files.

We have currently one Document Library and creating the following folder Structure: (3 Main Folders with many Subfolders)

Contact:

  • Contact 1 (up to 10 Documents)
  • Contact 2 (up to 10 Documents)
  • Contact N (up to 10 Documents)

Account:

  • Account 1 (up to 10 Documents)
  • Account 2 (up to 10 Documents)
  • Account N (up to 10 Documents)

custom-Entity:

  • custom-Entity 1 (up to 10 Documents)
  • custom-Entity 2 (up to 10 Documents)
  • custom-Entity N (up to 10 Documents)

Each Subfolder will contains 1 to 10 Documents.

I don’t understand the 5000 limit directly.

When we access the SharePoint iFrame on the CRM-Record do we hit the 5000 limit, even if there are only up to 10 Records in the Subfolder for this record? It seems to be possible to store up to 30.000.000 Million Documents per Library.

Documents:

„You can create very large document libraries by nesting folders, or using standard views and site hierarchy. This value may vary depending on how documents and folders are organized, and by the type and size of documents stored.“
